Advantages Of Per Diem Expense Report Submission

Per diem expense report is typically referred to as travel expense report. It is meant to replace the traditional manner of actual submission where supporting documents for each cent spent during travels are needed to substantiate the claim. Total submitted should not go beyond the approved rates and its caps.

It includes reasonable components of a travel expenditure. This includes meals and accommodation. In some cases, it includes gas and taxi fares. Rates and ceilings are typically calculated and updated based on industry standards.

Generally private business and organizations have some flexibility in adapting their own rates, policies and procedures. In the case of government employees and contractors, the rates are regulated in accordance with prescribed national standard rates and ceilings as approved by government appointed regulating agencies.

Majority of employees assigned with functions that requires out of town travels, including those in the government on repeated travel assignments are experienced with the system. Daily rates and allowable inclusions, policies, procedures, including form templates for submissions are generally straight forward.

One of its advantages is that it promotes efficiency both on the employee and employer sides. Employees are made aware at the start how much their cap is for each category of expense. As such, they are more careful in their choices of places to stay, where to eat, appropriate mode of transport, etc. They are made aware a supplemental documentation is necessary to explain the overspending. This environment will cut the time spent in submission, auditing, approval, and reimbursement processes.

Another advantage is the ease of submitting per diem expense report compared to the original manner. Given that day rates are used, an electronic spreadsheet template, provided with extra fields to write explanations for overspending, can be used and shared with appropriate personnel. This translates to real time data readily accessible to the management anytime necessary.
