Dude, Lose That Secretary!

Do some rounds, good friend, and tell me what your secretary is doing at this time. If you answered surfing the internet, taking a nap, or reading a magazine, it's time to rethink where your money is going. In an ideal situation, a secretary would be paid for the work they accomplish and not for watching the clock. This is a situation that can easily be avoided by having a secretary work part-time to deal with office duties, while an answering service can take care of managing the phones and taking incoming calls.

Let's analyze this theory from purely a mathematical point of view using 6 variables A, B, C, D, E, & F.

Variable One - Secretary is paid $12.00 per hour each working day. Variable B. Secretary works 8 hours per day. Variable C. Secretary spends 40% of work day managing office work. Variable D. Secretary spends 30% of work day managing inbound phone calls Variable E. Secretary spends 12% of work day on lunch Variable F - And now the fun part, for your secretary and not for you, the boss - 18% of the work day on Facebook, Yahoo! Messenger, Cosmo, etc.

In summation, your secretary is earning $96.00 on a daily basis. Breaking things down pursuant to the six variables mentioned above, they are earning $38.40 per day for actual office duties, $28.80 per day for answering the phone, $12.00 for eating lunch (that is, if lunch is paid) and $17.28 for having fun at the expense of your valuable bandwidth and office space. Now let's expound on the above theory and multiply the numbers above by 22 business days, or one working month -- secretaries earn $844.80 a month for office liaisons and other issues, $633.60 for handling inbound telephone calls, $264 for eating lunch and the remaining $380.16 for goofing off.

With all that in mind, your secretaries, dear business owners, are only spending 3.2 hours a day managing business in the office, which is not exactly cost-efficient relative to outsourcing duties to a call center or some other third-party organization. Accounting for "free time" (i.e. coffee breaks, cigarette breaks, bathroom time, etc.) lets round up the 3.2 hour figure to 4 hours ($48.00 per day - $1056 per month). Now take $250.00 as the most accepted monthly market price for an answering service, should you decide to utilize one. Also, take into account that with a part time employee (i.e. less than 4 hours per day), a lunch break is not required.

It's time for the grand totals you have been waiting for.

First Situation. Using a secretary for every office duty costs a business owner $2112 per month.

Case B. Now an individual who owns a business who only hires a part time secretary and outsources the management of inbound calls to an answering service will only be paying...$1,306 monthly.

Based on these figures, utilizing an answering service can save a business owner $816.00 per month ($9792.00 per year). This figure, bear in mind, does not even take into account the increase in business that would inevitably result if you have somebody, a live person, answering phone calls even after you close shop, even on holidays. A live operator will help customer relationships flourish and enable you to put forth an image of a larger business than you actually are, one that is more secure and attuned to the needs of current and future customers.
